**Purpose of the role**

We are seeking a proactive and detail oriented Office & Travel Administrator to join our team in Vilnius. This is a hybrid role, working alongside the on-site Office Administrator. While both roles share responsibility for maintaining a well‑run and welcoming office environment, the primary focus of the Office & Travel Administrator will be the coordination of travel related matters for Vilnius staff, including travel arrangements and internal travel documentation. The role will also be expected to provide on-site cover for the Office Administrator during periods of absence.

**Key accountabilities**

-   Assist staff with travel arrangements, bookings and ensure compliance with internal policies and local regulations.
-   Prepare the internal travel documentation and assist staff with business trips  expense claims.
-   Train staff on the travel system and act as the main point of contact for travel-related inquiries.
-   Assist the Finance team with supplier invoice processing and data entry into D365.
-   Manage procurement and inventory of office supplies and equipment; coordinate with vendors and service providers.
-   Handle reception duties including internal communication, staff inquiries, incoming calls,  correspondence, and visitor support.
-   Monitor staff absences and maintain accurate records in SuccessFactors and other internal systems, assist HR team with other administrative tasks if needed.
-   Maintain a clean, functional office environment by liaising with the building administrator and cleaning services.
-   Support onboarding of new employees by preparing starter kits, issuing access cards, and locker keys.
-   Oversee internal tools such as desk and parking booking systems, staff discount platforms, and taxi services.
-   Organize and support internal events and initiatives (e.g., health checks, CSR events, photoshoots).
-   Perform ad-hoc administrative tasks as needed.

 **Skills, knowledge and experience**

-   Strong attention to detail and a high level of accuracy in day-to-day work
-   Clear and confident communication skills, with the ability to build positive relationships with colleagues at all levels
-   1–3 years’ experience in a similar administrative role or in supporting business travel coordination
-   Ability to organise and prioritise tasks effectively, meet deadlines, and stay focused in a busy environment
-   A professional and discreet approach, with a strong understanding of confidentiality when handling sensitive information
-   Fluency in both English and Lithuanian (spoken and written) is essential
-   Basic knowledge of Lithuanian labour law and employment-related regulations
-   Comfortable using Microsoft Office, including Word, Excel, Outlook, and PowerPoint
-   Bachelor’s degree in Business or a related field (preferred)
-   Basic knowledge of accounting or financial processes (preferred)
-   Professional appearance and a friendly, approachable demeanour
