### **Position Summary**

We are seeking a reliable and detail-oriented **Accountant & Administrative Support Specialist** to manage day-to-day accounting functions while also providing administrative, HR, and construction coordination support. This hybrid role is ideal for someone who enjoys owning the numbers while keeping operations organized and running smoothly.

The ideal candidate has strong bookkeeping and accounting fundamentals, is comfortable handling administrative responsibilities, and can support construction-related coordination tasks with accuracy and follow-through.

### **Key Responsibilities**

### **Accounting & Financial Operations**

-   Perform full-cycle **bookkeeping**
-   Record and maintain accurate **financial transactions**
-   Maintain the **general ledger**
-   Prepare **financial statements** (Income Statement, Balance Sheet, etc.)
-   Manage **Accounts Payable and Accounts Receivable**
-   Perform **bank and credit card reconciliations**
-   Monitor budgets and track variances
-   Manage **expense tracking and reporting**
-   Support **tax preparation** and compliance activities
-   Assist with audits and financial reviews
-   Prepare and manage **invoicing**

### **Administrative Support**

-   Screen and manage emails
-   Maintain and organize the company **Dropbox file system**
-   Manage calendars, reminders, and scheduling
-   Support general administrative tasks as assigned

### **Basic Human Resources Support**

-   Assist with **new hire onboarding paperwork**
-   Track **PTO and sick time**
-   Process **weekly payroll through ADP**
-   Maintain basic employee records and documentation

### **Construction & Project Coordination**

-   Set up and maintain **project folders**
-   Assist with basic **construction documentation**
-   Support **job costing** activities
-   Manage and track **insurance requests**
-   Assist with **bid management and tracking**

### **Qualifications**

-   Proven experience in **accounting or bookkeeping**
-   Strong understanding of general ledger, AP/AR, and reconciliations
-   Experience with **payroll processing (ADP preferred)**
-   Proficiency with accounting software and Excel
-   Strong organizational and administrative skills
-   High attention to detail and accuracy
-   Ability to manage multiple priorities independently
-   Professional, discreet, and dependable

### **Preferred Experience**

-   Experience supporting **construction or trade-based businesses**
-   Familiarity with job costing and project-based accounting
-   Experience in hybrid accounting + admin roles

## Requirements

This is a full time role
