### **THE ROLE**

We're looking for an exceptional Executive / Personal Assistant to support our CEO and Chairperson across both their professional and personal lives.

This is a high-trust, high-ownership role for someone who is exceptionally organized, resourceful and comfortable operating in a fast-moving creative environment. You'll become a central point of coordination for two busy principals—helping manage their time, priorities, communications, travel and personal logistics so they can stay focused on the things that matter most.

This is also a highly IRL role. You'll primarily work alongside the CEO from our NYC office five days a week, with occasional needs at the principals' residences or elsewhere in New York City. Some travel may also become part of the role.

The right person thinks beyond the task in front of them. You anticipate what's coming, connect dots, make good judgment calls and create order without creating unnecessary process. You're equally comfortable managing a complicated executive calendar, rerouting an international trip, coordinating a household repair, securing a hard-to-get reservation or figuring out an unexpected problem no one has encountered before.

Much of the value of this role comes from proximity, context and trust: knowing where the day stands, what's changed, what's coming next and what can be handled without involving the principals at all.

### WHAT YOU'LL DO

**Keep the professional world moving**

-   Own and gatekeep complex professional and personal calendars, balancing competing priorities and protecting executive time.
-   Develop a deep understanding of the business, priorities and relationships so you can make thoughtful decisions about what requires attention and when.
-   Manage scheduling and serve as a key point of coordination for internal and external requests.
-   Help manage the flow of email, Slack and other communications, identifying priorities and drafting responses as needed.
-   Ensure the CEO and Chairperson have the context and materials they need by coordinating with the appropriate teams and keeping information easy to access.
-   Track commitments and follow-ups so important things don't fall through the cracks.

**Own travel and logistics**

-   Manage domestic and international travel end-to-end, including flights, hotels, ground transportation, reservations and detailed itineraries.
-   Anticipate travel needs and preferences, and coordinate professional and personal plans so the full picture works seamlessly.
-   Serve as a real-time point of coordination while the principals are traveling, managing changes, scheduling, outreach and unexpected needs.

**Make the personal side seamless**

-   Manage personal appointments, reservations, events, tickets, gifting, shopping/returns and other day-to-day needs.
-   Coordinate personal and family travel as needed.
-   Manage household and property needs, including recurring services, vendor and landlord relationships, repairs, maintenance, deliveries, access and home projects.
-   Support personal administrative and financial logistics as appropriate.
-   Handle or coordinate errands around NYC, knowing when to take something on directly and when to engage a vendor or other resource.
-   Learn preferences and build systems around recurring needs so less direction is required over time.

**Figure things out**

-   Conduct thoughtful research and bring back clear recommendations across professional and personal needs.
-   Take ownership of special projects and unexpected requests, driving them from question or problem through resolution.
-   Build simple systems and use technology and AI thoughtfully to make recurring work more organized and efficient.
-   Approach whatever comes up with resourcefulness, discretion and a solutions-oriented mindset.

## Requirements

### WHAT WE'RE LOOKING FOR

We're looking for someone with **4+ years of relevant experience** supporting senior/C-Suite level leaders or operating in a high-touch, fast-moving environment. That experience may come from executive or personal assistance, but we're open to adjacent backgrounds where you've demonstrated exceptional organization, judgment, discretion and ownership.

You may have supported a founder, CEO, creative executive, HNW principal or another demanding senior leader—or built these skills in an environment where anticipating needs, managing competing priorities and figuring things out were fundamental to your success. The exact number of years and title matter less to us than the level at which you've operated and the judgment you've developed along the way. Familiarity with the pace and rhythm of a creative advertising agency is a plus.

More importantly, you are:

**Highly discreet.** You'll have extraordinary visibility into sensitive professional and personal information. You understand that trust is earned and protected through consistently excellent judgment.

**Polished, warm and culturally fluent.** You can represent the CEO and Chairperson appropriately with anyone from a client or business leader to a personal relationship or household vendor. You know when polish matters and when being warm, human and scrappy gets the job done.

**Emotionally intelligent.** You're perceptive about people and can adapt to different communication styles, preferences and ways of working.

You'll also bring exceptional organization and attention to detail; excellent written and verbal communication; experience with complex calendars and domestic/international travel; comfort handling meaningful personal-assistant responsibilities; and fluency with modern workplace technology and AI tools.

### What Success Looks Like

Within your first 6–12 months:

-   You've earned the trust of both the CEO and Chairperson and become their natural first call for day-to-day professional and personal coordination.
-   Their time is better protected and managed—priorities are clear, conflicts are anticipated and they spend less time managing the logistics around their own days.
-   You're several steps ahead, anticipating what they need, solving problems proactively and knowing when something genuinely requires their attention.
-   Professional and personal commitments feel connected and coordinated, with important details, communications and follow-ups consistently handled.
-   You've learned their preferences and built simple systems around recurring needs, reducing the amount of direction required over time.
-   Most importantly, both principals feel meaningfully less burdened by the logistics of their professional and personal lives and better able to focus their attention where it matters most.
-   You've become the clear owner of day-to-day executive and personal support, creating a clean operating model where tactical needs are handled confidently through you and escalated only when necessary.

### IRL, Availability + Flexibility

This is an **IRL, five-day-a-week role**. You'll be primarily based in Mojo's NYC office, working in close proximity to the CEO, with occasional needs at the principals' residences or elsewhere in New York City.

The normal schedule will generally be Monday–Friday, approximately **9am–6pm ET**. There will occasionally be needs outside those hours due to travel, events, time zones or changes that materially affect the following day.

Some travel may also be required; the frequency and expectations are still being determined.

This isn't a 24/7 family-office role. We believe in reasonable boundaries while recognizing that supporting a CEO and Chairperson requires flexibility, responsiveness and the ability to adapt when plans change.
