## Description

**Job Title: Construction Administrative Assistant**

**About the Role**

We are seeking a detail-oriented Construction Administrative Assistant to support day-to-day operations for a client working on multifamily and commercial development projects in the Los Angeles area. This on-site role is ideal for someone with hands-on construction industry experience who thrives in a fast-paced job site or field office environment and can juggle documentation, coordination, and communication across project teams.

**Key Responsibilities**

-   Provide administrative support to project managers, superintendents, and field staff
-   Prepare, organize, and maintain project documentation, including submittals, RFIs, change orders, and daily reports
-   Track subcontractor certificates of insurance, licenses, and compliance documentation
-   Assist with scheduling meetings, site visits, and inspections
-   Maintain accurate project files (digital and physical) and ensure documents are properly logged and distributed
-   Coordinate communication between the field office, subcontractors, vendors, and clients
-   Support procurement processes, including purchase orders and material tracking
-   Assist with certified payroll documentation and compliance reporting as needed
-   Take meeting minutes and distribute action items
-   Perform general office duties: answering phones, managing correspondence, ordering supplies

## Requirements

**Qualifications**

-   Minimum 3 years of administrative experience specific to the construction industry (multifamily or residential development experience strongly preferred)
-   Familiarity with construction terminology, workflows, and documentation (RFIs, submittals, change orders, etc.)
-   Proficiency in Microsoft Office (Word, Excel, Outlook); experience with construction management software (e.g., Procore, Buildertrend) a plus
-   Strong organizational skills and attention to detail
-   Excellent written and verbal communication skills
-   Ability to work independently and manage multiple priorities in a deadline-driven environment
-   Must be able to work on-site full-time in Los Angeles, CA

**Preferred Qualifications**

-   Experience supporting public works or prevailing wage projects
-   Familiarity with certified payroll and Labor Compliance Program (LCP) requirements
