## Description

Our client is a locally owned franchise of one of North America's leading custom window treatment brands. They bring the showroom into the customer's living room — a mobile, in-home consultation model backed by top product lines (Graber, Alta, Norman, Hunter Douglas, and others) and by a small, tight-knit team that lives or dies on how cleanly a quote lands.

This role is the quiet engine behind that experience. You keep quotes moving, documentation clean, and the sales process running efficiently from behind the scenes — so the sales consultant can stay in front of clients, and the owner can stay out of the weeds. You will work directly with the owner and one sales consultant.

A meaningful part of your day is live: you join phone calls with the salesperson while they are driving between appointments, take dictation in real time, and enter measurements from photos of field measure sheets into Solatach — the company's proprietary quoting platform. It is fast, precise work. A wrong measurement or a mistyped product code becomes an incorrect quote, an unhappy customer, and a lost deal. This role is trusted because the details are trusted.

### Key Responsibilities

**Quoting & Data Entry (primary function — training on Solatach provided)**

-   Build and start quotes in Solatach based on information provided by the sales team.
-   Enter measurement data from photos of field measure sheets submitted by the salesperson after client consultations.
-   Input product selections, window measurements, pricing details, and other job specifications accurately into the quoting system.
-   Review completed quotes for accuracy and completeness before they are presented to clients.
-   Maintain organized quote records and assist with updating or revising quotes as job details change.

**Real-Time Dictation Support**

-   Join phone calls with the salesperson while they are driving between appointments to take live dictation and enter information in real time.
-   Capture measurement notes, client details, product selections, and other job information accurately during these calls.
-   Confirm back what was entered, so nothing is missed or misunderstood before the call ends.
-   Ask quick, clarifying questions without slowing the conversation down — you keep the pace, but you never let a wrong number pass.

**Documentation & File Management**

-   Receive and process photos of measure sheets submitted from the field and transcribe the information into the appropriate systems.
-   Organize and maintain job documentation, including client photos, measure sheets, quote versions, and order records.
-   Ensure all documentation is filed clearly and retrievable for reference throughout the job lifecycle.

**Solatach Software Support**

-   Learn Solatach quickly and become fluent in it for quoting, data entry, and order management.
-   Support the sales team in getting the most out of the platform as the role develops.

**General Sales Support**

-   Assist the owner and sales consultant with day-to-day administrative tasks that keep the sales process moving.
-   Help track the status of quotes, pending orders, and follow-ups so nothing falls through the cracks.
-   Communicate clearly and responsively throughout the day via phone, text, and messaging.

## Requirements

-   Strong attention to detail — measurement data and product specifications must be entered accurately every time.
-   Fast and accurate typing skills (target 55+ WPM at 98%+ accuracy) — real-time dictation demands you keep up with spoken information without slowing anyone down.
-   Comfortable learning new software independently — training on Solatach is provided, but you should be someone who picks up new platforms with ease.
-   Excellent listening skills — you will capture information over phone calls in real time, often while the salesperson is multitasking or driving.
-   Organized and reliable — documentation and quote records need to be consistently maintained and easy to find.
-   Professional and responsive communicator — you will be working closely with the owner and sales team throughout the day.
-   Clear, neutral, professional spoken and written English — the salesperson needs to understand you the first time, every time.
-   Availability during US business hours (specific US time zone confirmed at offer stage) — the role runs alongside a live US sales day.
-   Reliable remote setup — quiet workspace, high-speed and stable internet (minimum 25 Mbps down / 10 Mbps up), a noise-cancelling headset with a good mic, and a backup power/internet plan.

### Preferred Qualifications

-   Prior experience as a sales assistant, quoting coordinator, order-entry specialist, or estimator's assistant — especially in a small-business setting.
-   Prior experience with any quoting, CPQ, or estimating platform (Solatach, QuickBooks Estimates, Odoo, JobNimbus, HouseCall Pro, ServiceTitan, or similar) — not required, but shortens the learning curve on Solatach.
-   Exposure to window treatments, home improvement, interior design, or a construction-adjacent industry — helpful for reading measure sheets and understanding product terminology.
-   Prior remote work with a US or Western client, including a track record of async communication and on-time delivery.
-   Comfort working with imperfect photo inputs — dim lighting, angled shots, handwriting — and knowing when to ask for a re-take instead of guessing.

### Tools & Software

-   **Solatach** — primary quoting and sales platform; full training provided
-   **Microsoft Teams and OneDrive** — internal communication and document storage
-   **Phone / voice call platform** — for real-time dictation calls during driving windows
-   **Microsoft Excel or Google Sheets** — tracking quote status, follow-ups, job records
-   **Standard office productivity tools** — Word, Outlook or Gmail, PDF viewers, image viewers for measure-sheet photos
