Key Responsibilities

-   Enter data accurately into NetSuite and into trackers / spreadsheets as required — for example invoice details, document references and supporting information.
-   Handle tax documents — sort, copy, file, scan and enter details of tax invoices, receipts and withholding-tax (WHT) certificates, keeping them organised for the finance team and for filing / audit.
-   Follow up on and collect tax documents — chase vendors for tax invoices / receipts after payment, download tax invoices / receipts from the platform Seller Centers, and follow up with customers for their WHT certificates.
-   Check and match documents — track VAT invoices against AP bills and confirm original documents are on file where a copy has been used, flagging anything missing.
-   Prepare the monthly VAT & WHT documentation — pull, print, sort and store the supporting documents in the right folders, ready for the finance team's review.
-   Prepare, sort and organise physical and scanned documents to support the finance team’s processing and month-end work.
-   Follow instructions from the finance team on what needs to be copied, entered, filed or prepared, and complete tasks on time.
-   Help keep records complete and up to date, and flag anything that looks missing or unclear to the finance team.
-   Assist with general administrative and clerical support for the finance function as needed.   
    

What We Are Looking For — The Ideal Profile

-   Strong attention to detail — careful and accurate when handling data entry, documents, and paperwork.
-   Organised and reliable — able to manage a steady volume of documents and complete tasks on time.
-   Basic computer skills — comfortable typing and using a computer for data entry. Training on NetSuite and internal trackers will be provided.
-   Comfortable with routine and repetitive tasks — able to work consistently and accurately through a regular workload.
-   Positive and cooperative attitude — willing to support the Finance team and help with day-to-day administrative tasks.  
    

What Success Looks Like

-   Documents are properly copied, organised, filed, and easy to locate.
-   Data is entered into NetSuite and internal trackers accurately and on time.
-   Paperwork is kept complete, organised, and up to date, with nothing lost or misplaced.
-   The Finance team receives reliable day-to-day administrative support, allowing them to focus on core finance activities.
