As our **Receptionist** you'll be the first face people see when they walk through our doors; welcoming employees, clients, suppliers, interviewees and other visitors to the office. Reporting to the Workplace Experience Lead, you'll keep the day-to-day running of the office on track, from reception and admin to internal events, so that the environment feels professional, organised and welcoming to everyone who walks in.

This is a role with two parts: the reception duties people see the moment they arrive, and the work that keeps the wider workplace running well for everyone in it. You're not supporting the experience from somewhere off to the side. 

You _are_ the experience, in person, every day, at our office in the **V&A Waterfront, Cape Town**.

It's the role for you if, after a full week engaging with people at the office, you're still up for a braai with friends on Friday night. It calls for strong interpersonal and organisational skills, attention to detail, discretion and a proactive, service-oriented approach.

### Responsibilities

**Reception & Visitor Experience**

-   **First impressions:** Welcome every visitor (employees, clients, suppliers, interviewees) warmly and professionally, confirm the purpose of their visit, and notify the right person promptly so nobody is left waiting.
-   **Visitor care:** Offer appropriate refreshments and keep visitors comfortable while they wait.
-   **Enquiries & bookings:** Respond to and direct enquiries from visitors, clients, suppliers and employees clearly and courteously, and manage meeting-room bookings so front-office logistics run smoothly.
-   **Discretion:** Handle visitor, employee and company information with judgement and confidentiality.

**Office & Workplace Support**

-   **A welcoming space:** Keep the reception area and wider office clean, tidy and ready for the day.
-   **Stocked and supplied:** Support the Workplace Experience Lead with office orders (stationery, refreshments and other supplies) and monitor stock so the team never runs short.
-   **A well-run office:** Liaise with the cleaning team on anything that needs attention, and manage incoming mail, deliveries and courier items so they reach the right person without delay.
-   **Ad hoc support:** Help managers with reasonable day-to-day requests (printing, refreshments, lunches) and general administrative support as it comes up.

**Internal Events**

-   **Bringing events to life:** Support our Social Committee in planning and delivering workplace events and employee activities; from ordering supplies to helping with setup and pack-down.

**Safety & Security**

-   **A secure front office:** Help keep entrances closed and secured as required, and stay alert to anything out of place.
-   **Speaking up:** Report suspicious behaviour, unattended packages or unauthorised visitors to the Workplace Experience Lead or management immediately.
-   **Following procedure:** Follow our workplace, health and safety, confidentiality and security procedures.

## Requirements

-   **At least a year of experience** in a similar front-office and administrative role.
-   Full professional proficiency (written and verbal) in both **Afrikaans and English**.
-   **People skills that put others at ease:** Naturally warm, professional and approachable, with strong interpersonal and communication skills across employees, visitors, suppliers and service providers.
-   **Organised under pressure:** Strong organisational skills and attention to detail, with the ability to juggle multiple tasks and shifting priorities without dropping the ball.
-   **Proactive by nature:** A genuine willingness to help, and the instinct to notice what needs doing before being asked.
-   **Good judgement:** Reliable and discreet, comfortable exercising judgement with sensitive information.
-   **A team player:** Enjoys being part of a team and contributing to a positive workplace culture.

### Working Hours

-   **Monday to Friday:** 07:00 to 16:00
-   This role requires **consistent on-site presence** during working hours to support office operations, queries, and coordination with third-party vendors
-   **Punctuality and reliability are essential**, as the role plays a key part in ensuring the office is operational and ready at the start of each working day
