**Job Title: Behavioral Health Medical Billing Specialist – TherapyNotes**

**Position type: Part-time** 

**Payrate: $6-$7 USD per hour, depending on experience**

**Work Schedule: Monday - Friday : 10:00 AM – 2:00 PM CDT** 

**Location: Remote - Philippines**

### Client Overview and Job Summary 

We are looking for an experienced **Behavioral Health Medical Billing Specialist** to support an established U.S.-based counseling and mental health practice. The immediate focus of this role is to **catch up on outstanding billing and resolve rejected insurance claims using TherapyNotes**. You will review billing issues, follow up on EOBs and claim statuses, address insurance rejections, and help ensure claims are resolved within applicable filing and reimbursement timelines.

Beyond billing, you will provide light administrative and reporting support, assist with compliance renewals, and may support insurance credentialing as the practice grows.

This is a great opportunity for someone with **hands-on TherapyNotes billing and insurance claims experience** who is detail-oriented, proactive, and enjoys taking ownership of issues through resolution while building a **long-term working relationship with a growing behavioral health practice.**

### Key Responsibilities

**Medical Billing & Claims Resolution**

-   Take ownership of the current **billing backlog** and work toward bringing outstanding claims up to date.
-   Review and resolve **rejected or problematic** **insurance claims** in TherapyNotes.
-   Investigate the reason for claim rejections and take appropriate steps toward correction and resubmission.
-   Follow up on outstanding claims and insurance reimbursement issues.
-   Track claim statuses and ensure timely follow-up, particularly for claims approaching reimbursement or filing deadlines.
-   Identify billing discrepancies and work through insurance-related issues and disputes.

**EOB & Insurance Follow-Up**

-   Access, review, and manage **Explanation of Benefits (EOBs).**
-   Follow up with insurance companies regarding rejected, unpaid, or pending claims.
-   Conduct claim status inquiries and document outcomes.
-   Research insurance billing issues and follow through until a resolution or clear next step is established.

**TherapyNotes**

-   Work directly within **TherapyNotes billing software.**
-   Review billing information and rejected claims.
-   Update and maintain accurate billing and insurance information.
-   Use TherapyNotes as the primary platform for managing the practice's billing workflows.

**Administrative & Reporting Support**

-   Assist with email management as needed.
-   Monitor a secondary email account used to receive employee reports related to a **DCFS contract.**
-   Once per month, coordinate required reports to DCFS.
-   Send reminders to staff to ensure reports are submitted on time.
-   Help organize and coordinate reports and other administrative documentation.
-   Answer incoming phone calls when needed.

**Compliance & Credentialing**

-   Assist with government and administrative compliance requirements.
-   Support **SAM registration/renewal** and other required renewals.
-   Track credentialing renewal requirements.
-   Potentially assist with **insurance panel credentialing** as the practice's needs grow.

## Requirements

### Must-Have Qualifications

-   **Hands-on experience using TherapyNotes billing software – highly preferred**
-   **Medical billing and insurance claims processing experience – REQUIRED**
-   Experience investigating and resolving **rejected or denied insurance claims.**
-   Experience reviewing and following up on **EOBs and claim statuses.**
-   Strong understanding of healthcare insurance and billing workflows.
-   Ability to identify billing discrepancies and determine appropriate next steps.
-   Strong attention to detail and accuracy.
-   Excellent written and verbal English communication skills.
-   Ability to communicate clearly and professionally over the phone.
-   Knowledge of **HIPAA requirements** and ability to maintain patient confidentiality.
-   Proactive and resourceful approach to problem-solving.
-   Dependable, organized, and committed to a long-term working relationship.
-   Comfortable working independently and taking ownership of assigned billing issues.

### Preferred Qualifications

-   Previous experience working with a **behavioral health, mental health, counseling, psychology, or psychiatry practice.**
-   Experience with provider **credentialing and insurance panel enrollment.**
-   Experience handling compliance or government-related healthcare administrative requirements.
-   Familiarity with SAM registration or renewals.
-   Previous experience supporting a small or growing U.S. healthcare practice.

### Basic Requirements

-   Must speak and write English clearly and professionally.
-   Must have relevant work experience.
-   Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding (mandatory).
-   Must be available to attend video meetings with camera on when required.
