**About the Role** 

Kaufman Rossin is seeking a confident, highly organized Tax Scheduling Coordinator to own and drive the scheduling function for the Tax department. This is not a purely administrative role — it is a coordination and accountability function that sits at the center of how the department manages its people, workload, and utilization. The right candidate will monitor capacity daily, facilitate cross-group work assignment, hold managers to staffing commitments, and serve as a neutral and trusted resource for Partners, Managers, and staff alike. 

The ideal candidate is process-oriented, relationship-savvy, and comfortable engaging in direct conversations with senior stakeholders when scheduling decisions need to be upheld. 

**How You'll Contribute** 

-   Own daily and weekly monitoring of staff hours, identifying individuals who are underutilized, over-capacity, or at risk of missing billable targets 

-   Coordinate work assignments across Tax groups and managers, facilitating reallocation of available staff when workload demands shift 

-   Attend group and team meetings regularly to maintain visibility into workload, capacity, and staffing needs across the department 

-   Engage service line leaders directly to negotiate staffing moves, ensuring equitable distribution of work while respecting manager priorities and client commitments 

-   Serve as the single intake point for scheduling requests, using a dedicated channel to manage and prioritize incoming needs 

-   Follow up on timesheet submission compliance and escalate gaps or patterns to the appropriate manager or leadership contact 

-   Pull and maintain utilization reports, billable hour benchmarks, and burnout indicators to support leadership decision-making 

-   Collaborate with the Tax service line leader in regular check-ins to review staffing status, flag concerns, and align on priorities 

-   Support the transition to XCM, learning new workflows and helping the department adopt updated scheduling tools and processes 

-   Maintain scheduling accuracy across engagements and help ensure that deadlines and client commitments are met 

**What to Expect** 

This is a full-time role. During busy season, the pace is high, the stakes are real, and the coordination demands are significant. You will be a visible and important presence across the Tax department, and your effectiveness will directly impact how well the team is staffed, how efficiently work moves, and how supported managers and staff feel.

## Requirements

**Skills You'll Bring** 

-   2+ years of scheduling, coordination, or resource management experience, preferably in a professional services, tax, or accounting environment 

-   Strong organizational skills with the ability to manage competing priorities across multiple groups and stakeholders simultaneously 

-   Confidence in navigating direct, sometimes difficult conversations with managers and partners while maintaining professionalism and sound judgment 

-   Excellent interpersonal skills with the ability to build trust and credibility across all levels of the organization 

-   High attention to detail, especially in tracking hours, utilization data, and scheduling accuracy 

-   Comfort working independently and taking ownership of a function without constant direction 

-   Proficiency in Microsoft Office Suite, particularly Excel 

-   Experience with XCM or similar workflow management tools is a plus, but not required 

-   Prior exposure to tax processes, accounting environments, or professional services scheduling is helpful

-   Demonstrated ability to hold firm on scheduling decisions when challenged by managers or senior stakeholders, while maintaining strong working relationships 

-   Experience supporting a scheduling or resource management function within a Tax team 

-   Familiarity with tracking utilization rates, billable hour benchmarks, and workflow capacity data 

-   Ability to operate as a neutral third party across competing team interests, making balanced decisions that serve the department as a whole 

-   Strong sense of ownership, initiative, and follow-through — you do not wait to be asked twice 

-   Enthusiasm for learning the firm's culture, systems, staff, and client service expectations within the first 90 days
