## Description

**Key Responsibilities**

The Operations Coordinator supports the brokerage across three areas.

**BROKERAGE-WIDE SYSTEMS, TOOLS, AND PROCESSES**

•     Organize, maintain, and continuously improve brokerage-wide systems, including file and resource management and the tech stacks.

•     Own and track brokerage programs and initiatives, such as the vendor partnership and past-client retention programs, and support the rollout of new programs as they develop.

•     Own and improve agent service processes, such as commission disbursement authorizations, brokerage compliance support, listing support, open house management, and troubleshooting support.

•     Look beyond individual tasks to identify and implement ways to streamline and optimize systems and processes across the brokerage.

**CROSS-DEPARTMENT COLLABORATION**

•     Partner with each department to help create, maintain, and improve the processes and systems they rely on.

•     Keep processes aligned across departments, flag conflicts, and ensure each team’s work supports brokerage-wide goals and roadmaps.

•     Own and improve the new agent onboarding process from offer through in-person onboarding, serving as the link between recruiting and agent development to create a seamless handoff.

•     Act as the primary point of contact for new agents getting started, handling tech stack setup, communication, and general Q&A.

•     Partner with each department to coordinate logistics for their meetings, training sessions, and events.

•     Handle logistical support across departments, including off-site orders and pickups, and resource research and management.

**DAY-TO-DAY BROKERAGE RESPONSIBILITIES**

•     Manage the day-to-day operations of the Denver and Colorado Springs offices, including supplies, cleanliness and maintenance, organization, and mail and packages.

•     Manage the brokerage calendar, including its recurring weekly, monthly, and quarterly events.

•     Coordinate with brokerage partners to schedule events, including continuing education courses and vendor presentations.

•     Coordinate logistics for brokerage meetings and team events, from presentation preparation and setup through meals and remote streaming to recaps and post-meeting action items.

•     Draft and send routine team and agent communications across both offices, including brokerage updates, event reminders, and action-item follow-ups.

Support senior leadership in executing day-to-day brokerage activities and new initiatives.

## Requirements

**REQUIRED**

•     2–4 years of experience in operations, administration, office management, or a comparable support role.

•     A process and systems mindset, with experience improving workflows, documenting processes, or making operations run more efficiently.

•     Practical experience using AI to improve and optimize work, applied with judgment: you understand the problem first, then use AI to help build and refine the solution.

•     Highly organized and detail-oriented, able to juggle competing priorities accurately, with the discretion and follow-through to deliver without being chased.

•     Comfort with business software and a willingness to learn new tools quickly, such as Follow Up Boss, Google Workspace, and project and file management tools.

•     Ability to work effectively across teams and departments to keep shared work aligned.

•     Clear, professional written and verbal communication.

•     Able to work full-time in-office at our Denver location 1777 S. Harrison St. Denver, CO 80210 **,** with flexibility to travel to the Colorado Springs office at least two days a month. This role is the in-person operations hub of the brokerage, and its effectiveness depends on being present with the team.

**PREFERRED**

•     Experience in real estate or a related industry.

•     Experience owning programs, projects, or initiatives end-to-end.

Exposure to light automation or scripting.

**Compensation & Benefits**

•     Salary Range: $65,000 to $85,000 per year, depending on experience.
