## Description

**One remote coordinator who becomes your front office — handling calls, scheduling, intake, referral and authorization coordination, and the day-to-day admin that currently lands on you — so your clinical hours stay clinical.**

### Job Responsibilities

-   **Patient communication** 

-   Daytime inbound calls, messages, and patient questions   
    

-   **Scheduling** 

-   Managing the calendar across your therapists — cancellations, reschedules, new appointments, and mobile-visit logistics (home, gym, park, etc.)   
    

-   **Patient intake** 

-   New-patient onboarding, demographics, and insurance information gathering 

-   **Referral & authorization coordination** 

-   Supporting referrals and prior authorizations across Tricare, Medicare, Medicaid, and Blue Cross Blue Shield — supplying onboarding information to your biller and helping track authorizations   
    

-   **Ad hoc admin** 

-   Documentation requests, disability letters, chasing down newly registered Medicare numbers, and tasks you forward by email or message

## Requirements

-   US healthcare admin / front-office experience
-   Strong phone and written communication; comfortable owning a busy inbox and calendar
-   Inbound patient calls and scheduling across multiple therapists — cancellations, reschedules, mobile-visit logistics
-   New-patient intake — demographics and insurance information gathering
-   Referral and prior-authorization coordination exposure: Tricare, Medicare, Medicaid, BCBS (works alongside the client's biller, not replacing billing)
-   Ad hoc admin — documentation requests, disability letters, follow-ups
-   HIPAA-aligned before Day 1 — MFA, PHI handling, role-based access
-   Works inside the client's existing EHR and scheduling tools; hours set to client coverage needs (US daytime)

**Minimum Technical and Work Environment Requirements:**

-   **Internet Connection:**

-   Primary internet connection with a minimum speed of **15 Mbps**.
-   Backup internet connection with at least **10 Mbps**.
-   Backup connection must be capable of supporting work during a power outage.

-   **Primary Device:**

-   Desktop or laptop equipped with at least:

-   **Intel Core i5 (8th generation or newer)**, **Intel Core i3 (10th generation or newer)**, **AMD Ryzen 5**, or an equivalent processor.
-   A minimum of **8 GB RAM**.

-   **Backup Device:**

-   Must meet or exceed the performance of an **Intel Core i3** processor.
-   Must be functional during power interruptions.

-   **Peripherals and Workspace:**

-   A functioning **webcam**.
-   A **noise-canceling USB headset**.
-   A **quiet, dedicated home office space**.
-   A **smartphone** for communication and verification purposes.
