## Description

O’Hagan Meyer is seeking an experienced, detail-oriented, and collaborative **Assistant Legal Billing Manager** to support the leadership and daily operations of our Billing Department. This is a key leadership position for an experienced legal billing professional who has a strong understanding of law firm billing, enjoys developing and supporting team members, and is motivated to improve processes, accuracy, efficiency, and client service.

**The** **Assistant Legal Billing Manager will support the Legal Billing Manager in overseeing a team of approximately 30 billing professionals and will serve as the Manager’s primary back-up.** This position will play a key role in managing daily workflow, staff development, billing quality, client billing requirements, and process improvement.

The successful candidate will be comfortable providing direction and leadership to a large billing team and working collaboratively with attorneys, clients, and administrative personnel to resolve complex billing issues. This position requires someone who can effectively balance day-to-day operational responsibilities with longer-term process improvement and team development.

**Essential Duties and Responsibilities**

·       Support the supervision and daily management of a Billing Department consisting of approximately 30 billing professionals.

·       Serve as the Legal Billing Manager’s primary back-up and assume appropriate departmental leadership responsibilities during the Manager’s absence.

·       Provide leadership, coaching, guidance, and support to billing team members.

·       Help establish departmental priorities, distribute workloads, and ensure appropriate staffing and coverage.

·       Monitor daily billing workflows to ensure invoices are accurate, timely, and compliant with client billing guidelines.

·       Monitor productivity, quality, workload, and other departmental performance metrics.

·       Assist with performance management, employee development, and ongoing coaching of billing team members.

·       Support the onboarding, training, and development of new and existing billing staff.

·       Serve as a resource for complex billing questions, client requirements, and department best practices.

·       Partner with attorneys, clients, and administrative staff to research and resolve billing questions, disputes, and complex billing issues.

·       Assist with electronic billing processes, including invoice submission, rejection resolution, and compliance with client-specific eBilling requirements.

·       Monitor billing deadlines and help ensure invoices are processed and submitted accurately and timely.

·       Identify opportunities to improve departmental efficiency, reduce errors, streamline workflows, and strengthen billing processes and controls.

·       Assist in developing, documenting, and maintaining standard operating procedures, training materials, and billing guidelines.

·       Support the implementation and optimization of billing systems, processes, and technology.

·       Assist with reporting and analysis related to billing activity, productivity, and departmental performance.

·       Work closely with the Legal Billing Manager on departmental initiatives, projects, and process improvements.

·       Serve as a leadership resource for the Billing Department and help foster a professional, collaborative, and accountable team environment.

·       Perform other duties and special projects, as assigned.

## Requirements

**Qualifications, Skills and Abilities**

·       Minimum of **five (5) years of legal billing experience in a law firm environment**.

·       Minimum of **three (3) years of supervisory, leadership, or team management experience**, preferably managing or leading a team of billing professionals.

·       Demonstrated ability to provide direction, coaching, and accountability to a team.

·       Strong knowledge of legal billing processes, law firm billing practices, and client-specific billing guidelines.

·       Experience working with a large, multi-office law firm preferred.

·       Experience with **Aderant or comparable legal billing software** preferred.

·       Experience with electronic billing platforms and client-specific eBilling requirements.

·       Strong leadership and interpersonal skills, with the ability to develop, motivate, and hold team members accountable.

·       Exceptional attention to detail and strong organizational skills.

·       Strong analytical, problem-solving, and decision-making abilities.

·       Ability to prioritize multiple deadlines and manage competing demands in a fast-paced environment.

·       Strong written and verbal communication skills.

·       Ability to work effectively with attorneys, clients, and administrative personnel at all levels of the organization.

·       Proficiency in Microsoft Excel and Microsoft Office.

·       Demonstrated commitment to accuracy, accountability, teamwork, and exceptional client service.

Salary based on experience. Pay Range: $95,000 - $115.000
