**About the role:**

The Office Admin Specialist is responsible for overseeing day-to-day administration and facilities operations for the India office. The role ensures a safe, efficient, and well-maintained workplace by managing vendors, facilities, transportation services, compliance activities, office infrastructure, and employee support. The role serves as a key point of contact for workplace operations and drives continuous improvements to enhance the employee experience.

## Requirements

**What you'll do:**

**Administration & Facilities Management:**

-   Oversee daily office administration and facilities operations. 
-   Ensure office infrastructure, assets, equipment, and workplace services are maintained effectively. 
-   Manage housekeeping, pantry services, maintenance activities, and office supplies. 
-   Identify and implement workplace improvements to enhance operational efficiency and employee experience. 

**Procurement & Vendor Management:** 

-   Manage procurement of office supplies, equipment, services, and workplace-related purchases. 
-   Manage vendor relationships, contracts, and Annual Maintenance Contracts (AMCs). 
-   Monitor vendor performance and ensure agreed service levels are met. 
-   Review invoices and coordinate timely processing of vendor payments. 
-   Identify opportunities for cost optimization and operational efficiencies. 

**Budget Management:**

-   Support the development and management of the administration and facilities budget. 
-   Track expenses, maintain records, and provide budget utilization reports. 
-   Ensure administration expenses are managed effectively and within approved budgets. 

**Transportation & Employee Support:** 

-   Manage employee transportation services and office vehicle operations. 
-   Address administration and facilities-related employee queries and concerns. 
-   Partner with People & Culture to support employee engagement activities and workplace initiatives. 
-   Coordinate with internal stakeholders to support business and workplace needs. 

**Compliance & Workplace Safety:**

-   Maintain office licenses, permits, lease documentation, and compliance records. 
-   Ensure adherence to workplace safety standards and regulatory requirements. 
-   Support audits and compliance reviews related to office operations. 
-   Oversee office security, CCTV systems, and access management. 

**Employee Engagement & Workplace Experience:** 

-   Partner with People & Culture to support employee engagement activities, office events, and cultural initiatives. 
-   Coordinate logistics for town halls, celebrations, wellness activities, and employee programs. 
-   Gather employee feedback and recommend workplace enhancements. 
-   Act as a key point of contact for administration and workplace-related employee support. 

**What we're looking for:** 

-   Bachelor’s degree in business administration or a related discipline. 
-   7 - 10 years of experience in office administration, facilities management, or workplace operations. 
-   Strong experience in vendor management, contract administration, and facility operations. 
-   Knowledge of workplace compliance and safety requirements. 
-   Strong organizational, problem-solving, and stakeholder management skills. 
-   Proficiency in Microsoft Office and administration systems.
