**What You'll Do**

_Reporting to the Program Manager, the Project Coordinator is responsible for working with assigned Project Manager(s) to coordinate and accomplish the necessary project tasks and requirements. The role requires the individual to closely communicate with the Project Manager(s) to ensure key milestones are proactively being monitored and executed on all assigned projects._ 

**Key Responsibilities**

The responsibilities include, but may not be limited to:  

-   Support development of projects in InEight Estimate Software for Execution.
-   Assist with PMO document management.
-   Monitor projects in close out through to archive.
-   Coordinate, prepare and distribute detailed project schedules in conjunction with the Project Manager(s). Review same with critical sub-trades, obtain input, and update the schedule as required. Monitor progress on a daily and weekly basis and record actual data.
-   Coordinate, prepare and distribute project cost tracking in conjunction with Project Manager(s).
-   Attend site meetings with owner and consultants as required by the Project Manager(s). If required, prepare and distribute minutes of these meetings.
-   Assist in the administration of established client contract processes for Revisions, Requests, Instructions, Change Orders and Non-Conformance Reports.
-   Assist in the preparation of quarterly (or more frequently if required) project projections.
-   Assist Project Manager(s) and Construction department in the administration and preparation of bid documents.
-   Engage subcontractors for competitive pricing during bid preparation.
-   Assist site Foremen in the ordering and tracking of material delivery dates.
-   Assist in preparation and processing of progress claims and coordination of these with Project Manager(s) and accounting.
-   Assist Project Manager(s) to ensure proper site procedures are set up and maintained including, site meetings, schedule. and unit cost reporting requirements and formats.
-   Ensure owners’ and consultants’ instructions are distributed, met, and carried out. Update plans and specifications with all revisions and information.
-   Follow up as requested by the Project Manager(s) on own forces and sub-trade performance, problems on the project, and contractual disputes and issues.
-   Ensure proper maintenance of all project files, records, drawings, and specifications.
-   Process time sheets, daily work orders, and time and material sheets as required.
-   Organize QA/QC procedures and inspections and assist the Project Manager(s) in preparation and distribution of deficiency lists. Coordinate deficiency corrections and inspections, and document as required.
-   Utilize strong written and oral communication skills, ability to organize project reports, computer skills, knowledge of estimating and site practices and procedures, and general interpersonal and relation skills to assist the Project Manager in ensuring that assigned projects run smoothly and efficiently.

**Additional Information**    

As a condition of employment, candidates will be required to complete pre-employment screening including professional reference checks and a criminal record check.

## Requirements

**What We're Looking For**

Post-secondary education relating to business administration or project management would be an asset

Experience in Construction Management Software (InEight Estimate and Viewpoint preferred) would be an asset

Experience in the construction industry would be an asset

Proficiency with Microsoft Office Suite (Primarily SharePoint, Word, and Excel)

Detail oriented disposition

Excellent written and verbal communication skills

Effective time management skills to oversee multiple priorities

Proven ability to work in a team environment or independently
