**Administrative Assistant to the Deputy Superintendent, Promise Academy**

The Harlem Children’s Zone (HCZ) started with one mission that was the most ambitious and audacious in U.S. history: to end intergenerational poverty in Central Harlem and lead the way for other long-distressed communities nationwide and around the world to do the same. The organization’s aim is to light that pathway, from cradle to college to career, with community-responsive and wraparound youth programs that support children and their families in every way and in every year of a child’s development. 

Essential Duties and Responsibilities

-   Liaise externally with families and internally with Promise Academy Principals and other Promise/HCZ programs and departments.
-   Create meeting agendas and capture any meeting minutes.
-   Prepare any required presentation of materials for all key internal and external meetings involving the Deputy Superintendent.
-   Manage the Deputy Superintendent’s calendar, incoming and outgoing mailings, and provide timely responses to inquiries sent to the Deputy Superintendent.
-   Book travel arrangements to ensure every aspect of travel (i.e., door-to-door) is effectively coordinated.
-   Become familiar with and remain knowledgeable about Promise/HCZ programs.
-   Build and maintain effective working relationships with Principals and Senior Staff.
-   Draft emails and other forms of communication on behalf of and for the Deputy  Superintendent.
-   Conduct research and provide analysis of data.
-   Attend meetings on behalf of the Deputy Superintendent.
-   Execute various special projects and perform other duties as assigned.
-   Provide supplemental administrative support to the Managing Director of Teaching and Learning.

## Requirements

Qualification, Skills, and Knowledge Requirements

-   A commitment to the mission and programs of HCZ
-   Bachelor’s degree with at least 2-3 years of experience supporting a senior executive
-   Must be a professional, polished, strong self-starter with a “can-do” attitude in addition to a flexible approach
-   Ability to handle confidential and sensitive information with integrity and discretion
-   Excellent relationship management skills and the ability to work with various stakeholders (both internally and externally) at all organizational levels.
-   Must have strong communication skills both oral and written
-   Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google, and Outlook
-   Strong ability to administer multiple projects simultaneously and prioritize workload
-   Excellent data analysis and presentation skills
-   Strong work ethic and impeccable attention to detail
-   Prior work experience in a school setting 
-   Ability to work independently and as part of a broader team

SPECIAL CONSIDERATIONS

-   Travel with the Deputy Superintendent to and from HCZ zone locations as needed
-   Support with planning and day of tasks for HCZ events
-   Must be accessible for emergencies that require administrative support after work hours and on the weekends
-   Provide support to the Superintendent in the absence of the executive assistant.
