## Description

### What is your mission?

We are looking for an **Fax Intake & Referral Coordinator** to manage patient insurance verification, referral processing, eligibility reviews, and medical record documentation for outpatient healthcare services. This role is responsible for insurance verification, benefits eligibility checks, referral coordination, patient information management, EMR documentation, and ensuring compliance with U.S. HIPAA regulations while supporting efficient patient scheduling and revenue cycle operations.

**You will provide the best service to our partner brands by performing these tasks:**

-   Perform real-time insurance eligibility verification for patients and confirm active coverage prior to appointments
-   Contact insurance providers via phone, online portals, and fax to obtain referrals, benefit information, and insurance verification details
-   Verify and document primary, secondary, tertiary, Workers’ Compensation, and Motor Vehicle Accident (MVA) insurance information
-   Collect and maintain accurate patient demographic, insurance, and claims information
-   Coordinate with clinic staff regarding scheduling adjustments when referrals, authorisations, or insurance coverage requirements are not met
-   Review and respond to provider inquiries, requests, and insurance-related questions in a timely manner
-   Review patient medical records and histories to ensure required information is complete and accurate
-   Process and manage a high volume of inbound documentation, including approximately 60 to 80 faxes daily
-   Scan, attach, and maintain insurance verification records, referrals, and supporting documentation within the EMR system
-   Document all insurance verification, referral, eligibility, and benefits activities accurately and completely
-   Communicate effectively with patients, providers, clinic personnel, and insurance representatives to resolve coverage and referral concerns
-   Ensure adherence to U.S. HIPAA regulations, patient privacy requirements, and Protected Health Information (PHI) standards
-   Support healthcare operational efficiency through accurate documentation, timely follow-up, and strong attention to detail

## Requirements

### Who are we looking for?

-   Bachelor’s Degree required
-   Medical education or healthcare-related studies completed in the United States is highly preferred
-   Minimum 2 years of experience in insurance verification, referral processing, healthcare administration, or related healthcare support functions
-   Minimum 2 years of experience reviewing and managing medical records, referrals, and patient documentation
-   Experience within U.S. healthcare, medical practice operations, healthcare administration, revenue cycle management, or insurance verification environments
-   Strong knowledge of U.S. insurance plans, including Medicare, Medicaid, HMO, PPO, Workers’ Compensation, and MVA insurance
-   Strong understanding of payer contracts, referral requirements, insurance verification workflows, and healthcare reimbursement processes
-   Knowledge of medical terminology, anatomy and physiology, ICD-9, ICD-10, CPT, and HCPCS coding
-   Experience working with Electronic Medical Records (EMR) systems and healthcare documentation platforms
-   Familiarity with insurance portals, referral systems, fax-based document processing, and eligibility verification tools
-   Strong verbal and written English communication skills with the ability to resolve insurance and referral issues with providers, patients, clinic staff, and insurance representatives
-   Excellent organisational, multitasking, and documentation management abilities
-   High attention to detail with a commitment to accuracy, quality, and compliance
-   Ability to work independently, manage high-volume workloads, and meet operational deadlines
-   Strong problem-solving skills and a proactive approach to issue resolution
