**The Role**

In this role, you'll be an integral part of our team's mission of helping immigrants secure their future in the United States through asylum. You'll work collaboratively across our firm to ensure clients receive the highest quality support throughout their journey to safety. Your specific responsibilities will align with your expertise and our current operational needs, but all roles share our commitment to excellence, compassion, and results.

The Sales & Marketing Operations Specialist owns and optimizes the systems that power our marketing and sales engine — CRM workflows, automations, reporting dashboards, and AI-supported process improvements. Working at the intersection of technology, data, and mission, you'll ensure that every lead, every workflow, and every client touchpoint runs smoothly so our team can focus on what matters most.

This role is open to candidates located in **Argentina**.

**What You'll Do**

Your day-to-day responsibilities will vary based on the firm's needs, but will include a combination of the following:

● Manage and optimize HubSpot CRM workflows, lifecycle stages, and pipeline processes to ensure the customer journey is accurately represented and running efficiently.

● Build and maintain automations and integrations using tools such as Make, Zapier, CRM features, and large language models like Gemini and Claude to reduce manual work and improve operational efficiency.

● Monitor key performance indicators across the marketing and sales funnel — lead sources, consultation bookings, attendance rates, conversion rates, and client acquisition metrics — and build dashboards that give leadership clear, actionable insights.

● Maintain and improve communication workflows for consultation scheduling, pre- and post-consultation follow-up, new client onboarding, referral requests, and review requests.

● Build and maintain contact segmentation structures that support targeted email campaigns and other marketing initiatives.

● Collaborate across departments — including the Sales & Marketing Director, Chief Sales Officer, and Business Operations — to align systems with company-wide processes and identify opportunities for improvement.

● Document system architecture, automation processes, and standard operating procedures to ensure scalability and operational clarity.

● Identify opportunities to integrate AI tools into marketing and sales workflows, and stay informed on emerging technologies that can improve operational efficiency.

**Examples of Projects You Will Own**

● **Sales Funnel & CRM Optimization** — Audit and optimize the full HubSpot sales pipeline to ensure lifecycle stages, deal stages, and workflows accurately reflect the customer journey. Design and maintain improved consultation follow-up workflows to increase conversion rates.

● **Automated Client Journey Systems** — Design and implement automated communication sequences for key stages of the client journey, including consultation confirmations, pre-consultation preparation, post-consultation follow-ups, onboarding, referral requests, and review requests.

● **Marketing Segmentation Infrastructure** — Build and maintain CRM segmentation structures and smart lists that allow the marketing team to target leads based on lifecycle stage, source, engagement behavior, and other key attributes.

● **Funnel Tracking & Performance Dashboards** — Build dashboards within HubSpot to track the full marketing and sales funnel — lead generation, source attribution, consultation bookings, attendance rates, conversion rates, and client acquisition metrics.

● **Automation & Systems Integration** — Design and maintain automations that connect systems across marketing, sales, and operations using tools such as Make, Zapier, and HubSpot workflows. Identify manual processes that can be automated to reduce operational friction.

● **AI-Enabled Operational Improvements** — Identify opportunities to integrate AI tools into marketing and sales workflows. Implement AI-assisted reporting, workflow improvements, and automation solutions.

● **Process Documentation & Operational Clarity** — Document key marketing and sales processes to ensure systems and workflows are clearly defined, scalable, and aligned with company-wide operations.

## Requirements

**Who You Are**

We're looking for professionals who combine technical competence with genuine passion for our mission. The ideal candidate brings:

**Required**

● Fluency in Spanish and English

● HubSpot certification with demonstrated experience managing CRM workflows and pipelines

● Experience with automation tools such as Make, Zapier, or similar platforms

● Experience integrating AI tools into business processes and working with large language models like Gemini and Claude

● Strong analytical and data interpretation skills

● Experience building workflows and operational systems

● Strong organizational and problem-solving skills with exceptional attention to detail

● Ability to manage multiple projects and priorities simultaneously

● Experience working with cross-functional teams

**Preferred**

● Experience in marketing operations, sales operations, or revenue operations

● Experience designing dashboards and performance reporting systems

● Experience supporting operational systems in scaling organizations

● Experience with business intelligence tools such as Power BI, Tableau, or Looker

**What We Offer**

This position offers a monthly salary range of **USD 1,900 – 2,400**, commensurate with experience and qualifications.
