Entuitive is looking for a Project Administrator, based in our Toronto office, to support our growing, national Transportation team. Working closely with project, business development, and internal leaders across the country, this role plays a key part in coordinating meetings, correspondence, presentations, and travel, while helping keep projects, pursuits, and internal initiatives moving forward. It's a great opportunity to build broad exposure across a dynamic and expanding team, working independently and collaboratively across multiple workstreams. The ideal candidate brings strong organizational skills, a proactive mindset, and excellent communication skills to support cross-functional teams and project delivery effectively.

**What will you do?** 

-   Manage meeting logistics for project, business development, and internal meetings — including scheduling, agenda preparation, and clear, actionable minutes. 

-   Manage correspondence and act as a point of contact for scheduling and follow-ups on behalf of leaders.  

-   Assist in the preparation of presentations and reports for projects, proposals, and internal initiatives.  

-   Maintain and update templates and tools in Word, Excel, and PowerPoint. 

-   Support proposal and project administration, including CRM/ERP data entry and coordination with management tools.  

-   Coordinate travel arrangements and logistics for leaders. 

-   Support financial administration including expense reports, timesheet coordination, and invoice tracking. 

-   Support with the organization and execution of internal team activities and events.

## Requirements

**What do you need to succeed?** 

-   Minimum 1-2 years of experience working within project teams, office administration, business development, and/or proposal team is required.  

-   Experience working in the Architecture, Construction, Consulting and/or Engineering industry is strongly preferred.  

-   Proficient in Microsoft Office Suite, CRM systems, and bid management tools.  

-   Strong organizational, attention to detail, and analytical skills, including comfort working with numbers and financial data entry. 

-   Excellent written and verbal communication skills 

-   Ability to work independently and multitask in a fast-paced, deadline-driven environment, with a proactive, self-starting approach and the ability to anticipate needs.

**Compensation, Benefits, & Total Rewards**

-   Competitive base salary: $55,000 - $65,000 (aligned with experience, qualifications, and education)
