## Description

Space Inch is seeking a **Director of Operations** to own and evolve the operating standards behind how we deliver. Reporting to our COO, you'll turn those standards into a working system across every functional area. That means deciding what we document and what we deliberately don't, training people and teams, making sure the standards are adopted, and measuring whether they work. You'll also own how we staff our projects and make sure the executive team gets a regular, reliable view of project status and health. And you'll capture how our delivery is changing as AI becomes a bigger part of our practice.

This is first and foremost a systems and adoption role. Writing a good SOP is the easy part. We're looking for someone who gets people to actually work that way, notices quickly when they don't, and resolves it directly with teams and individuals. You'll own the full loop: definition (SOP) → training → practice → monitoring → metrics and accountability → iteration.

We're still building this function, so you'll be hands-on. You won't inherit a mature operations team or a finished playbook. You'll shape both.

### Our Mission, Vision, and Values

At Space Inch, we prioritize alignment with our clients and team, ensuring a deep understanding of their needs. We are committed to delivering exceptional work while supporting the personal and professional growth of our team members.

### Working at Space Inch

- Our team is around 80+ people, primarily based in the EU (mostly Croatia), but also members in the rest of the Europe, South America, and the US; the product team mostly being in the US, and engineering in Croatia and Brazil
- We are remote-first, but occasional travel may be required, e.g. for annual company retreats
- We work on end-to-end projects with a long-term vision
- You'll work across all functional areas of the company, partnering closely with the COO, the executive team, project leads, and team leads
- We strongly support work-life balance for our team members, even though we work in different time zones

## Requirements

- 8+ years in operations, delivery, or business operations roles, including owning operating standards, processes, or delivery governance
- Proven track record of building an operating system end to end: you've defined standards, rolled them out, trained people on them, measured adoption, and iterated based on what the data and the teams told you
- Strong judgment about documentation: you know what deserves a formal SOP, what works better as a lightweight guideline, and what shouldn't be documented at all, and you can explain why
- Experience designing programmatic training and onboarding (curricula, cohorts, playbooks, refreshers) rather than one-off sessions
- Hands-on fluency with AI as a working tool: you use it yourself, you've helped teams adopt it, and you can capture and standardize how AI is changing the way work gets delivered
- Comfortable holding people and teams accountable: when something isn't working to standard, you can have a direct, respectful conversation and reach a resolution without escalating by default
- Experience setting up project reporting and portfolio visibility for leadership: status and health frameworks, reporting cadences, dashboards, and turning those signals into recommendations
- Hands-on experience with resource management and capacity planning, plus a solid understanding of software delivery (SDLC, agile practices) - you don't need to be an engineer, but you need to be credible with engineers and project leads
- A systems thinker: organized enough to hold many threads, decisive enough to act, and self-aware enough to loop in the COO at the right moments
- Excellent written English and strong spoken communication across async, live, and cross-cultural settings
- Must be based in LATAM for purposes of time zone alignment with the US

Bonus points

- Background in an agency, consultancy, or professional services environment
- Experience working with distributed teams

### What You'll Do

- **Own our operating standards**: Oversee, maintain, and evolve the standards that define how Space Inch operates, with the authority to change them and the COO as your escalation point. Bring them to life across each functional area so they show up in day-to-day work and the tools teams use, not just in a wiki. You'll work closely with our Director of People, who owns company-wide onboarding and performance management, and our Director of Finance, who owns utilization targets and project financials.
- **Decide what gets documented and what doesn't**: Own the documentation strategy. Decide what needs a formal SOP, what needs lighter guidance, and what is better left undocumented, with clear reasoning behind each call.
- **Programmatic training and onboarding**: Build and run training and onboarding on how we work and deliver, both when people join and over time as standards change. Make it repeatable and scalable rather than one-off.
- **Adoption and resolution**: Make sure standards are actually adopted, with clear metrics that show whether they're working. When something isn't working to standard, find out why and resolve it directly with the teams or individuals involved. The fix might be coaching, a process change, or a revised standard.
- **Resource allocation and capacity planning**: Own how we staff projects, together with engineering leadership. Keep a reliable view of who is working on what, run a regular resourcing cadence with project and team leads, and plan capacity against the sales pipeline. Flag bench time, overallocation, and hiring needs early.
- **Project reporting and executive visibility**: Make sure project leads report consistently, so the executive team has a regular view of project status and health. Review what comes in, resolve or address issues, and make recommendations where it makes sense.
- **Capture how we deliver with AI**: Track and document how AI is changing our delivery practice as it evolves: what's working, what's becoming standard, and what should be scaled or retired.

### Typical Challenges You'll Be Solving

- Turning standards that exist on paper into habits teams actually follow
- Finding the right level of process: enough structure to deliver consistently, without slowing teams down or documenting for the sake of it
- Getting consistent, honest project reporting from leads with different styles and workloads, and making it useful for the executive team
- Bringing order to project staffing as people move between projects, with a resourcing process that leads and leadership trust
- Holding people accountable to standards while keeping their trust and goodwill
- Keeping our practices current as AI changes how work gets done, and capturing those changes in a way others can learn from

### Qualities for Success

- A clear, direct communicator who can explain the "why" behind a standard and adapt the message to engineers, project leads, and executives
- Builds trust: people come to you when something isn't working instead of working around you
- Analytical and metrics-minded, but pragmatic about what's worth measuring
- Comfortable making decisions and owning the outcome, even when the first version needs to change
- Calm, organized, and persistent: you follow through until something is actually fixed

### The Role is Right for You If

- You get energy from building systems that make a whole company work better, and from seeing people actually use them
- You see documentation as a tool with a purpose, not a goal in itself
- You see AI as a real shift in how work gets delivered and want to help shape it

### This Role is Not Right for You If

- You'd rather write a process than drive its adoption
- You expect to manage a large operations team from day one - that team doesn't exist yet
- You'd rather enforce standards through rules and approvals than through trust, training, and follow-through

### Compensation and Benefits

- **Compensation**: $5.800,00 - $6.600/monthly for a B2B engagement, based on experience and skills
- **Remote-first** setup
- **Health & Wellbeing**: 23 days of PTO + 15 days of 100% paid sick leave + $200annual health checkup subsidy
- **Stay active**: $50/month Wellness subsidy
- **Continuous Growth**: An education budget specifically designed to fuel your learning and help you expand your knowledge base.
